Does ViviScape Work replace QuickBooks?

No, and it is not meant to. ViviScape Work pushes finished invoices and customer records into QuickBooks Online so your accountant keeps working in the ledger they already use. ViviScape Work owns the work-to-invoice path; QuickBooks stays the book of record.

Does ViviScape Work train AI models on my data?

No. AI Studio is grounded in your own workspace — projects, tasks, notes marked as knowledge, and time records — under the same permissions you already have, and your data is not used to train models.

Is there a mobile app for ViviScape Work?

Yes. ViviScape Work has native iOS and Android apps, both live, plus a Windows desktop app with a persistent timer. Time logged on any of them lands in the same workspace as the web app.

Yes. Starter is free with no credit card and no time limit. It is a workspace for up to 2 users with 1 project, 1 customer and 25 AI credits a month — enough to evaluate ViviScape Work or run a very small team indefinitely.

How much does ViviScape Work cost?

ViviScape Work has three plans: Starter is free for 2 users, Pro is $29 per user per month, and Premium is $79 per user per month. Invoicing, projects, customers, insights and the full REST API are included from Pro upward — there are no separate module fees.

Can I pay for ViviScape Work annually?

Yes. Annual billing saves 20% on the Pro and Premium plans, and you can switch from monthly to annual at any time from billing settings. Starter is free either way.

What counts as a user in ViviScape Work?

A user is anyone with a login who can track time, be assigned tasks, or see reports. Client collaborators invited to a single project do not count as users and are not billed.

How do AI credits work across ViviScape Work plans?

AI features are billed in credits, where 1 credit is worth $0.01. Each plan includes a monthly credit allowance — 25 on Starter, 225 on Pro and 1,500 on Premium — which resets on the 1st and does not roll over. Credit packs cost $9 for 900, $15 for 1,500 or $60 for 6,000 credits; purchased credits never expire. Your monthly allowance is spent first, and optional auto-reload tops you up so AI features and agents don't pause mid-month.

Does ViviScape Work offer non-profit or startup pricing?

Yes. Registered non-profits get 50% off any paid plan, and startups under $5M ARR get 12 months free. Contact ViviScape through the contact form with proof of status to have either applied.

Is there an enterprise tier above Premium?

Premium is the top published plan and includes SSO with SAML and OIDC, SCIM provisioning, per-record encryption keys, a 99.99% SLA and a dedicated success manager. Larger deployments that need custom terms are handled case by case through the contact form.

What happens to my data if I outgrow the free plan?

Nothing moves or disappears. Upgrading happens inside the platform and unlocks gated modules on the same workspace, with existing customers, projects, tasks and tracked hours intact. There is no migration or re-import step.

What tools are included in ViviScape Work?

ViviScape Work includes twelve modules across three groups: execution (tasks and time tracking, projects, customers, invoicing), intelligence (insights, dashboards, AI Studio) and governance (activity logs, roles and permissions, spaces). All twelve are one system sharing one data model, not separate products.

What is AI Studio in ViviScape Work?

AI Studio is operational AI grounded in your workspace data rather than a general chatbot. It answers questions about your own projects, tasks, notes and tracked time, respects the permissions the asking user already has, and can draft the admin work — summaries, status updates, time entries — instead of only conversing.

Can I use ViviScape Work for time tracking only?

You can log time against an activity type alone, but nearly every useful report groups by project and customer. Creating a project takes seconds and is what makes hours reportable, billable and attributable, so most teams set one up on day one.

Does ViviScape Work do invoicing?

Yes. Invoicing is included from the Pro plan upward at no extra cost. Invoices are built from tracked billable time already attributed to a customer and project, and can be pushed to QuickBooks Online.

What does ViviScape Work integrate with?

How does the ViviScape Work QuickBooks integration work?

It pushes finished invoices and syncs customer records from ViviScape Work into QuickBooks Online. Your team stops double-entering billable work, and your accountant keeps QuickBooks as the book of record.

Can I track time from Slack?

Yes. The ViviScape Work Slack app lets you ask for your queue, start and stop timers, log time, and create and move tasks without leaving chat. Every action is recorded as the requesting user, so the audit trail stays accurate.

Can AI agents work inside ViviScape Work?

Yes. ViviScape Work lets you add AI agents to your workspace as members of your team, each with its own sign-in, permissions and history. Claude, ChatGPT, OpenAI Codex, Microsoft Copilot and other assistants connect through the ViviScape MCP server and can read and update projects, tasks, time, customers and notes.

Which AI assistants can connect to ViviScape Work?

Any assistant that supports the Model Context Protocol can connect to ViviScape Work. That includes ChatGPT and Claude.ai through the hosted connector at mcp.viviscape.io, Claude Desktop, Claude Code and OpenAI Codex through the viviscape-mcp package, and Microsoft Copilot Studio or GitHub Copilot through the same hosted endpoint.

How do I control what an AI agent can do in ViviScape Work?

You set it per agent. In AI Workforce → Agents → Sign-in & access you choose the agent's permissions and the Spaces, projects and tasks it may reach, and ViviScape Work checks those on every call. An agent can never see or change more than you granted.

Does an AI agent use my login?

No. Each agent signs in with its own credential, so everything it creates or changes is recorded in the activity log under the agent's name rather than yours. Revoking the credential disconnects the agent immediately, and rotating it keeps the agent's history intact.

Which ViviScape Work plan includes AI agents?

Connecting outside agents through the ViviScape MCP server is part of the Premium plan, at $79 per user per month. AI Studio, the built-in assistant, is available on every plan, including the free Starter plan.

ViviScape Flow

What is ViviScape Flow?

ViviScape Flow is the automation builder inside ViviScape Work. You draw how a piece of work should move — what starts it, which steps follow, and where a person signs off — and Flow runs it, with your AI agents doing steps and every run recorded.

What can start a flow?

Six things: a webhook from another system, an email sent to the flow's own address, a schedule (as often as every 5 minutes, or daily or weekly), something happening in ViviScape Work such as a task or ticket being created, changing status, getting a comment or being assigned, a request from one of your AI agents, or a person running it by hand.

Can a person approve steps in a flow?

Yes. A Human approval step pauses the flow until a person approves or rejects it, or until it times out, and each outcome can lead somewhere different. The person's note is passed on to the steps that follow.

Do I have to build a flow from scratch?

No. Start from a template — Request to an agent, Ticket triage, Inbound order to task or Weekly report — or use Describe it: say what should happen in your own words and Flow drafts the flow for you to check and edit.

How do I test a flow before it goes live?

Flows are saved as drafts, and a test run of a draft treats steps that reach outside systems as dry runs. Publishing makes the saved draft the version that real requests run, and every request is kept in the flow's request log, where it can be replayed.

Which plan includes ViviScape Flow?

ViviScape Flow is part of the Premium and Enterprise plans, and flows are built by account admins. AI agents can start a published flow when the flow allows agent requests and the agent has been given permission to run flows.

What are the alternatives to ViviScape Work?

The ViviScape CLI is a command-line tool, invoked as vs, for scripting work against a ViviScape Work workspace — bulk imports, scheduled reports, CI hooks and one-off queries. It requires a paid plan.

Can AI agents connect to ViviScape Work?

Yes, through the ViviScape MCP server, which exposes the workspace over the Model Context Protocol to any MCP-capable assistant or agent. Can I import historical time entries from another system?
